What does "unlimited messaging" mean?

Depending on your plan, you will have access to unlimited messaging with your medical team. Connect with them anytime through the MSW Client Portal if you have any questions between visits or want to update them about how you’re responding to treatment. You should get a response within 72 hours, but usually sooner.

Please note: Unlimited messaging is not for emergency care or services. If you require urgent medical attention, please call 911 or visit an urgent care center.

What is your cancellation policy?

We ask that you kindly provide at least 24 hours notice for any cancellations. If cancelling within 24 hours but before the appointment window, you will be charged a cancellation fee of $50. No-call/no-shows will be charged the full out-of-pocket fee for their appointment.

What payments do you accept?

Payments are made directly through the Client Portal. We accept HSA/FSA, debit, and all major credit card companies, including American Express, Discover, Visa, Mastercard and others.

Do you accept insurance?

Mind Soma Wellness does not currently accept insurance. However, if you have out-of-network nutrition insurance benefits, we can provide you with a Superbill receipt to submit to your insurance company. Depending on the insurance and specific plan you have, your insurance may determine a partial or full reimbursement for the services.

It is your responsibility to inquire with your insurance company regarding these benefits and submit the Superbill (we can provide you with instructions when you schedule). The session fee must be paid at the time of service via the MSW Client Portal.

What is the difference between a ‘Registered Dietitian/Nutritionist’ and a ‘Nutritionist?’

Registered Dietitian: ‘Registered Dietitian’ (RD) or Registered Dietitian Nutritionist (RD/N) is a legally protected title for a professional expert in the field of Nutrition. To obtain this credential, the practitioner must:
– Earn a Bachelor of Science degree and receive a verification statement from an ACEND-accredited program
–Complete an ACEND-accredited supervised practice Dietetic Internship program of at least 1200 hours experience in a variety of settings (i.e. clinical inpatient/outpatient, pediatrics, public health, community and school nutrition).
– Pass the CDR’s Dietetic Registration Exam.
– Maintain licensure in state of practice.
– Earn approved continuing education (75 units/5 years).
– Abide by written code of ethics and scope of practice

Nutritionist: There is no legal precedent for the term ‘Nutritionist’ by itself.  No formal education is required.  No code of conduct or standards of practice established.Anyone can call themselves as a ‘Nutritionist,’ with or without formal training, experience, or expertise. Dependent on state laws, providing medical nutrition therapy may be illegal.

*For our client’s safety and best practices, we assure all Mind Soma nutrition coaching and MNT is provided by credentialed practitioners with the ‘RD’ or ‘RD/N’ credential.

How do I find out if I have out-of-network benefits?

1. Call your insurance. The phone number is typically located on the back of your insurance card. Ask to speak to the Benefits department.

2. Ask the following questions:
— Are Medical Nutrition Therapy (MNT)/Nutrition Counseling covered by out-of-network benefits? The procedure codes we use for MNT are: 97802 (initial assessment) and 97803 (follow up).
— Is coverage dependent on your diagnosis (ICD-10 diagnosis code)?
— Are there certain codes that are covered/not covered?
— Are there any out-of-network benefits for preventative care (Z codes)? If so, which Z codes and what are the requirements?
— Are out-of-network virtual care visits covered?

3. If there is an MNT benefit, ask if there are any restrictions.
— Are there a certain number of  nutrition visits per calendar year?
— Is there a deductible that I need to meet?
— What is my percentage of coverage?
— Is there a co-pay?
— Do I need a referral from my primary care provider?
— Do I need pre-authorization?
— Is there a maximum reimbursement allowed per unit?
— How long is each allowed visit?

4. If your insurance company confirms that MNT is a benefit, document the date, a reference number, who you spoke with, and every detail from the call. Ask them to send you the information in writing.

Note: You may be able to have the MNT benefits applied to the “in-network” benefit side of your insurance plan if they do not have registered dietitian in their network. When insurance companies agree to cover an out-of-network practitioner under the “in-network” benefits, this is often called "Gap coverage". You may also be able to request a single case agreement for MNT depending upon your plan and diagnosis. Should you obtain a single case agreement or GAP coverage, we will require written documentation and information on copay, deductibles and how the insurance company would like to be billed for services.
